Employment verification confirms that a candidate worked where they say they did, in the role and for the dates they claim. In India, HR teams ask each previous employer to confirm those facts, then cross-check them against EPFO (UAN) records, documents such as relieving letters and payslips, and company records. Take the candidate's consent first and plan for about a week: SpringVerify publishes 5 to 6 working days for most employment checks. A missing PF record or a silent HR inbox is a gap to resolve, not proof of fraud.

In summary

  • What it confirms: the employer, the joining date and last working day, and the last designation. Exit reason, rehire eligibility and salary only when they are in scope and the employer agrees to share them.
  • Where answers come from: the previous employer's HR first. EPFO records, payslips, Form 16 and company records support it. No single source covers every fact.
  • How long it takes: 5 to 6 working days for most SpringVerify employment checks. The main variable is how fast each previous employer's HR replies.
  • Gaps are normal: many real jobs never appear in EPFO, for example at firms with fewer than 20 employees. Record the gap and find another source.
  • Consent and the DPDP Act: explain the check, take consent and collect only what you need. The Act's core duties for employers begin in May 2027.

What is employment verification?

Employment verification, also called employee verification or past employment verification, is the part of a background check that confirms a candidate's work history with the employers they name. It answers four questions: did they work there, from when to when, in what role, and how did they leave? In India it usually sits inside a wider background verification (BGV) that also covers identity (such as Aadhaar or PAN), address, education and court records.

A reference check is different: it asks a former manager for an opinion of the candidate's work, while employment verification establishes facts from records. Pre-employment verification runs before joining; post-employment verification runs after the person has started. Outside hiring, the term also means a letter confirming someone's job for a loan or visa. This guide covers checks HR teams in India run on candidates.

SpringVerify runs employment verification as one of more than 20 checks on one platform, alongside identity, address, education and court record checks for the same candidate. See the full set in our overview of employee background checks.

What does an employment check verify?

A standard employment check confirms that the employer is real, the dates of joining and leaving, and the last designation held. Exit details, rehire eligibility and salary depend on the scope you agree and on what the previous employer will disclose. Many employers confirm only dates and designation.

FactUsually confirmed?Watch for

Gaps between jobsIf you add a gap reviewAsk the candidate to explain the gap before judging it

SpringVerify's employment check covers four data points: tenure, last designation, professional conduct and employer authenticity. Tenure means the joining date and last working day, confirmed by each past employer, with EPFO records as a backup where available. Conduct covers exit formalities, rehire eligibility and any integrity issues. A gap review can be added to check employment gaps. These are the data points on its employment verification page, read on 27 October 2026.

Do companies check salary in background verification?

Some do, when salary is part of the agreed scope. The previous employer may decline to confirm pay, so payslips or Form 16 are the usual evidence. Ask for them only when pay history matters for the role, because they carry more personal data than a dates-and-title check needs. Salary is not among the data points on SpringVerify's employment verification page, so raise it in your demo if you need it.

Which sources confirm which facts?

Each source in an employment check answers some questions and not others. The previous employer's HR is the only source that can confirm designation and exit details with authority. EPFO records are strong on dates and silent on roles, and documents and company records fill in the rest.

SourceWhat it can confirmWhat it cannot confirm
Previous employer's HRDates, designation, employment type, exit details, rehire statusAnything the employer's policy stops it sharing
EPFO service history (via the UAN)Which establishments paid PF, and for which periodsDesignation, total salary, reason for leaving, jobs outside EPF
Former reporting managerTenure, role and conduct, from someone who saw the workOfficial HR records
Relieving or experience letterWhat the employer stated at exitIts own authenticity
Payslips and Form 16Pay for the period shown; Form 16 names the employer and its TANFull tenure or designation
MCA/ROC company recordThat the company is registered, and its statusThat the candidate worked there

SpringVerify's employment check uses five routes: direct HR contact, PF/EPFO records, MCA/ROC company data, TAN data and a reporting-manager WhatsApp channel (employment verification page).

The previous employer's HR

Direct confirmation from HR carries the most weight because HR holds the official record. Send the request to an address on the employer's own domain or a publicly listed HR contact, and treat contact details supplied by the candidate as a lead to check. Record who replied, their role, the date and exactly what they confirmed. SpringVerify contacts the previous employer's HR by email and shows where each request stands on a live dashboard, so you can see which employer is holding up a case.

UAN and EPFO records

The Universal Account Number (UAN) is the 12-digit number the Employees' Provident Fund Organisation (EPFO) gives each provident fund member. It links the member's PF accounts with different employers (EPFO FAQs). A candidate's EPFO service history shows which establishments paid PF for them and for which periods. That makes it good evidence for dates. It says nothing about designation, total salary or why someone left.

A missing EPFO record does not prove a job was invented. Real jobs fall outside EPF for ordinary reasons:

  • Small employers: establishments employing fewer than 20 people are covered only if the employer and a majority of employees opt in (EPFO FAQs).
  • Higher earners before September 2026: until 16 September 2026, EPF was compulsory only for employees with EPF wages up to ₹15,000 a month. Someone who earned more when they first joined could stay outside it. Notification S.O. 5109(E) raised the ceiling to ₹25,000 from 17 September 2026 (EPFO wage ceiling FAQs).
  • Work outside EPF: consulting, freelance work, jobs abroad and roles under other provident or pension schemes leave no EPFO trail.

These points summarise how EPF coverage works. For a specific case, take legal advice.

Overlapping PF contributions from two employers can point to dual employment (moonlighting), or to an employer that marked the exit date late. Confirm the dates with both employers first. SpringVerify also offers a separate Moonlighting Check that cross-references PF records, professional profiles and employment data.

Never ask a candidate for their EPFO password or an OTP; EPFO's passbook portal warns members never to share OTPs or personal details with callers. SpringVerify runs PF/EPFO lookups within its employment check, and a check can start without the candidate's UAN. Signeasy's HR team said this let them start verification once an offer was accepted, where their previous provider needed a UAN first (Signeasy case study, March 2022). Our guide to UAN and EPFO-based employment verification covers reading PF records in more depth.

The former reporting manager

When HR does not reply, the candidate's former reporting manager can confirm tenure, role and conduct, because they saw the work. Their answer is a first-hand account rather than an HR record, so the report should say who confirmed each fact.

SpringVerify builds this step in. If the previous employer's HR does not respond within a set window, SpringVerify finds the candidate's reporting manager and sends them a pre-filled WhatsApp form. The form takes under three minutes to complete (how reporting-manager verification works, April 2026).

Documents and company records

Relieving letters, experience letters and payslips (salary slips) show you what to confirm; none of them confirms itself. A letter can be forged, a payslip covers one month, and an offer letter or appointment letter shows an offer without proving the person joined. Compare letterheads, signatories and email domains with the employer's real ones. Form 16 is the TDS (tax deducted at source) certificate an employer issues on salary (Income Tax Department). It names the employer and carries its TAN (tax deduction account number), which ties pay to a real tax deductor.

MCA/ROC records, kept by the Ministry of Corporate Affairs and its Registrars of Companies, show whether a company or LLP is registered and its current status. They prove the employer exists. They cannot show that the candidate worked there. Proprietorships and ordinary partnerships are not in the company register, so a missing MCA record does not make a business fake. SpringVerify checks company registration and EPFO records to confirm that the employer was real and active when the candidate worked there.

How is employment verification done in India, step by step?

Employment verification in India follows six steps: set the scope, take consent, collect details, verify each employer at the source, resolve gaps, then decide. Start once the candidate accepts a conditional offer, so the check can finish before joining.

  1. Set the scope. Choose which employers to verify (for example, the last two jobs) and which facts. Use the same rule for every candidate in the same role.
  2. Explain the check and take consent. Say what you will check, why, who will see the report and how long you will keep it. Agree when you may contact the current employer.
  3. Collect details and documents. Fix name mismatches and missing employee IDs before you contact anyone.
  4. Verify at the source. Send requests to each employer's HR, check EPFO and company records, and follow up on a fixed schedule.
  5. Escalate or change source when HR stays silent or the company has closed.
  6. Review and decide. Read each discrepancy with the candidate's explanation. The provider supplies evidence; the hiring decision is yours.

In SpringVerify, HR adds the candidate (or imports them through an ATS, HRMS or the API) and names the employers to verify. SpringVerify collects the candidate's digital consent and documents and runs the checks. The report appears in your dashboard, with clear results in green and discrepancies flagged.

What documents should HR ask the candidate for?

For employment verification, ask for what you need to reach each employer, plus one or two documents per job:

  • Employer's legal name (and brand name if different), city and website
  • Employee ID and the name the candidate used at that job
  • Date of joining, last working day, last designation and employment type
  • HR contact at the employer, which you will check independently
  • Relieving or experience letter
  • Last payslip or Form 16, only if salary or dates need support
  • UAN, if the candidate has one (optional)
  • Consent, and any limit on contacting the current employer

Freshers have no previous employer to verify; check a declared internship only if it matters for the role. With SpringVerify, candidates give consent and upload documents online. Pazcare's HR manager put it this way: "The candidate themselves upload the documents, and all I need to do is initiate a background verification" (Pazcare case study, SpringVerify blog, November 2022).

How long does employment verification take?

Employment verification usually takes about a week. SpringVerify's employment verification page puts the turnaround time (TAT) for most of its employment checks at 5 to 6 working days, depending on how quickly the previous employer's HR responds. With several past employers, the slowest one sets the finish date. Missing details, closed or overseas employers and discrepancies that need a second source add time.

If employment is one of several checks, plan the joining date around the slowest. SpringVerify's published figures, read on its site on 27 October 2026:

CheckSpringVerify's published turnaroundWhere it is published
Basic-level checksUnder 60 secondsHomepage
Digital address verificationTypically 24 to 48 hoursAddress verification page
Physical address verification (field visit)3 to 7 business daysAddress verification page
Employment verification5 to 6 working days for most checksEmployment verification page
Official education verificationTypically 15 to 90 daysEducation verification page

SpringVerify's homepage says 80% of its verifications finish within 48 hours. Employment checks usually take longer because they wait on another company's HR team. With SpringVerify, Signeasy's HR team found that ID, address and employment checks were mostly complete within seven days. With its previous provider, the team had waited 15 days to a month just for status updates (Signeasy case study, March 2022).

Before you fix a joining date, ask any provider when the clock starts, how often unanswered requests are chased, and what the report says when a fact cannot be verified.

What should HR do when a previous employer doesn't respond or has closed?

When a previous employer goes silent, check that the HR contact is genuine, follow up on a schedule, then switch source: the former reporting manager, EPFO records or company filings. Keep the case pending while attempts continue, and report anything that stays unconfirmed as "unable to verify", which is different from a discrepancy.

SituationWhat to do
HR has not repliedCheck the contact is official, follow up, then go to the reporting manager or another authorised contact
Company has closedUse EPFO records, company filings and documents; confirm what you can and list the rest as unverified
Company merged or was renamedContact the successor company's HR and check MCA records for the change
Candidate was on a staffing agency's payrollVerify employment with the agency and the assignment with the client; list both names when you set up the check
Employer is outside IndiaExpect a longer timeline and a different route; agree both before the joining date
Candidate has not resigned yetVerify earlier employers first; contact the current employer only when the candidate agreed

SpringVerify has set routes for two common blockers. A silent HR team triggers the reporting-manager WhatsApp channel. For companies that no longer exist, it uses PF/EPFO records, MCA archival data and available statutory filings, which exist whether or not the company still trades (employment verification page).

Example: a CV says "Analyst at a private bank", but the payslips show a staffing agency. Both can be true. Confirm the employment with the agency that paid the salary and the assignment with the bank, then record one consistent finding.

What is a red flag, and what happens if a candidate fails BGV?

A red flag in employment verification is a confirmed fact that contradicts the candidate's claim, such as dates that differ by months or a higher title than the employer confirms. One clerical slip rarely matters; a pattern does. When a check fails, give the candidate a chance to explain, then decide under your written policy.

ResultWhat it meansWhat HR should do
Clear (green)The source confirmed the candidate's claimProceed
Discrepancy (red)A source contradicts the claimAsk the candidate to explain, then judge how much it matters for the role
Unable to verify, or insufficient (amber)No source could confirm or deny itTry another source, set a maximum hold period, then decide on what you have
PendingRequests are still outKeep following up and plan the joining date around it

Common red flags:

  • Dates that differ by months, especially when the difference hides a short job or a gap
  • A designation one or more levels above what the employer confirms
  • An employer with no registration, website or official HR contact
  • A letter the employer says it never issued, or one that does not match its letterhead or signatories
  • An HR "contact" on a personal email address
  • Two full-time jobs in the same months that the candidate did not mention

SpringVerify's reports are timestamped and source-cited and export as PDFs, so you can see which source said what before you act. Pazcare's HR manager said of the report: "I get to see each and every detail starting from document copies, email conversations, summaries of verifications" (November 2022). SpringVerify flags the discrepancy; your team makes the decision.

If your offer makes joining conditional on a satisfactory check, apply your written policy the same way to every candidate. For a specific case, take legal advice.

What does the DPDP Act require for employment checks?

The Digital Personal Data Protection Act, 2023 governs the candidate data an employment check collects, and it comes into force in phases. Notification G.S.R. 843(E), published on 13 November 2025, starts the core duties for organisations eighteen months after publication, which falls in May 2027. Those duties include notice and consent (sections 5 and 6), legitimate uses (section 7) and the general obligations of data fiduciaries (section 8).

Once those sections apply, the Act requires:

  • Notice and consent: tell the candidate what data you will process and why, and how to exercise their rights. Consent must be free, specific, informed and limited to the data the purpose needs.
  • Legitimate uses: section 7(i) lists processing "for the purposes of employment" among uses that do not need consent. Whether it covers checks on candidates before they join is a question for your counsel; taking consent avoids depending on that reading.
  • Accuracy: data used to make a decision about a person must be complete, accurate and consistent (section 8(3)), one more reason to record "unable to verify" as exactly that.
  • Processors, security and erasure: use a BGV provider only under a valid contract and apply reasonable security safeguards. Erase the data once the purpose is served, unless another law requires you to keep it (sections 8(2), 8(5) and 8(7)).

The DPDP Rules, 2025, notified on 14 November 2025, follow the same eighteen-month phase for most obligations (PIB, 17 November 2025). Build the notice, consent record, access limits and retention rule now, so nothing needs rebuilding in 2027. For a specific case, take legal advice.

SpringVerify's security page says candidate data is collected with explicit consent and used only for the stated verification purpose. SpringVerify holds ISO/IEC 27001:2022 and SOC 2 Type II certifications.

Should you verify employment in-house or use a provider?

Verifying employment in-house works when you make a few hires a year and each candidate has one or two previous employers. A provider makes sense once you hire every month, verify several employers per hire or need an audit trail, because most of the effort goes into chasing replies.

Is SpringVerify right for you?

SpringVerify suits HR teams in India that hire regularly and want previous-employer checks chased, escalated and reported for them. It is less useful if you hire rarely, want a price before a conversation or need every employment check closed the same day.

A good fit if:

  • You hire experienced people every month and verify more than one previous employer per hire.
  • Your team loses days chasing HR inboxes and wants escalation to reporting managers handled for it.
  • You use an ATS or HRMS such as Darwinbox, Keka, Zoho People or Workday and want checks started from it.
  • You need timestamped, source-cited reports for client or regulatory audits.
  • You want employment, identity, address, education and court checks in one dashboard.

Probably not a fit if:

  • You make a few hires a year, each with one previous employer you can phone. A call to HR plus the candidate's own EPFO passbook may be enough.
  • You need prices before you talk to anyone. SpringVerify does not publish pricing.
  • You need every employment check finished within a day. Most take 5 to 6 working days because they wait on previous employers.
  • Most of your candidates' experience is outside India. SpringVerify's published sources (EPFO, MCA, TAN) are Indian, so ask how it verifies overseas employers, and how long that takes, before you commit.

Kotak Mahindra Asset Management, a SpringVerify customer since March 2025, describes the team as "proactive and solution oriented" (testimonial on the employment verification page).

FAQs

Is employment verification the same as a reference check?

No. Employment verification confirms facts such as dates and designation from records. A reference check collects a former manager's view of the candidate's work. You can run both for senior hires.

Can you verify employment without a UAN?

Yes. HR confirmation, the reporting manager, relieving letters, payslips and Form 16 can support a check when there is no UAN or the job was outside EPF. A SpringVerify employment check can start without one.

Can a previous employer refuse to share details?

Yes. Many employers confirm only dates and designation as a matter of policy. Record what they would not share as a disclosure limit; an unanswered field is not a negative finding.

Can you contact the current employer before the candidate resigns?

Only with the candidate's agreement. Record when contact is allowed, for example after the resignation date, and verify earlier employers first.

How many previous employers should you verify?

Set the number in your BGV policy by role, for example the last two employers for most roles and the full history for senior or finance roles. Apply the same rule to every candidate in that role.

Does a discrepancy mean the candidate has failed?

No. Check the source, hear the candidate's explanation and judge whether the difference matters for the role. A one-month mismatch from a late PF exit entry is very different from an employer that does not exist.

How long does SpringVerify take for employment verification?

Most SpringVerify employment checks take 5 to 6 working days, depending on how quickly the previous employer's HR responds. The dashboard shows the status of each employer while the check runs.
